Primary Purpose

Supervise and manage the administrative and technical work in the program areas assigned to the service and asset functions of Fleet Operations. Assign work assignments to the teams for the installation, removal, modification and repair of emergency and non-emergency vehicle specialty equipment. Supervise vehicle onboarding/offboarding, database management, telematic processing, emergency equipment ordering and disposal and regulatory  paperwork. Manage all phases of repair work and daily operations performed by staff, partners and contractors. Provide professional and technical guidance and oversight to business programs and staff with regards to program management, service delivery and contracted services. Provide operational improvements through maintenance, training and research, job estimating, safety checks and job scheduling. Serve as back up to the Fleet Service and Asset Manager.

 

 

Essential Functions

Assemble teams and assign daily work. Plan and supervise work associated with service requests. Inspect work for quality control, quality assurance and completion per specifications and department standards. Track and record work order labor, material costs and other relative data. Oversee invoices and payments. Assist with contract management and ensure process are followed. Work with departments to coordinate vehicle pick up and drop off. Coordinate with Fleet staff to process disposition of county vehicles.  Assist with documents for county approval for surplussing county assets.

Complete administrative tasks in support of program services, employee supervision, work order management, and special projects. Complete time sheets and material requisitions. Process invoices and credit card transactions in accordance with departmental requirements and county policy. Generate tracking reports, project estimates, material lists, and other supporting documents and reports as needed. Maintain equipment inventory to include maintenance and service records. Assist Fleet Service and Asset Manager with fleet budgetary functions and monitor associated revenues. Prepare advanced documentation to assist with human resources actions (recruiting, hiring, evaluating and disciplinary), reporting and data management, and project coordination with staff, contractors, other governmental agencies and the customers.

Serve as back up for overseeing entire maintenance and repair operations. Oversee daily scheduling, dispatching, repair order management, shop safety, efficiency and quality. Direct contact with customers and contractors.

Work within the Motor Pool system including making reservations, onboarding and offboarding new motor pool vehicles, providing customer service, performing database management as well as vehicle maintenance and repairs.

Position(s) may perform other duties in addition to the above as assigned by management.

 


Additional Responsibilities

•

Respond to adverse weather events and emergency response operations as required for essential employees. Install and recover barricades, cones and other safety equipment. Clean up and restore county properties after damage due to natural events, civil protests or other unplanned events.


*IMPORTANT* In the event of an emergency, as determined by the County Manager or designee, participation in preparedness and response operations should be expected. Employee may be required to fill a temporary assignment in a role different from standard duties, work hours and/or work location in preparation for, during and after the emergency. Employee may also be required to participate in relevant exercises and regular preparedness training.
