Primary Purpose

Supervises, plans and participates in office, administrative and program related activities. Supervises office support staff ensuring adherence to policies, procedures and deadlines. Provides and oversees information to the general public or customers. Oversees a variety of administrative and office support services.

 

 

 

Essential Functions

•

Interviews, selects and trains staff.  Participates in performance reviews, Discusses job performance concerns with employees to identify causes/issues and to work on resolutions.  Determines staff schedules and resolves staffing issues. Oversees payroll/timesheet processing for assigned staff.

Provides/oversees information communicated to the general public or customers. Provides employees with guidance in handling difficult or complex problems.  Resolves escalated complaints and answers questions requiring in-depth knowledge of policies and procedures.

•

Monitors daily work activities. Reviews records or reports pertaining to staff work assignments to verify policies, procedures and guidelines were followed. Verifies transaction accuracy. Conducts quality assurance reviews.

•

Performs a variety of administrative and office functions. Reconciles transactions and claims, and reports any discrepancies. Develops and submits regularly scheduled reports to supervisor. Works on special projects as assigned.

•

Inventories materials and supplies. Researches vendors or materials, compares prices and places orders. Ensures that ordered quantities are delivered and processes information for payment.

Position(s) may perform other duties in addition to the above as assigned by management.

 

*IMPORTANT* In the event of an emergency, as determined by the County Manager or designee, participation in preparedness and response operations should be expected. Employee may be required to fill a temporary assignment in a role different from standard duties, work hours and/or work location in preparation for, during and after the emergency. Employee may also be required to participate in relevant exercises and regular preparedness training.

•

Thorough knowledge of services, policies, procedures and systems related to the program or work unit.

•

Ability to develop and oversee plans to accomplish work operations' objectives, goals and priorities.

•

Ability perform a variety of supervisory functions to including training employees to accomplish work assignments, reviewing and approving work, leave management and conducting performance evaluations.

•

Knowledge to audit transactions, reconcile accounts and manage the use of expenditures.

•

Ability to perform a variety of administrative and office support duties.
